Note: There is potential for this position to be part-time (24+hrs/week) up to a full-time (40hrs/week) role depending on the successful candidate’s availability and interest. This is a 12-month temporary role, with the possibility of extension.

What you will do

  • Provide ongoing administrative support services to a team consisting of 100+ staff/contractors, from Director level to front line staff.

  • Manage calendar and schedule appointments to ensure maximum time efficiency.

  • Clear and concise communication skills to draft and manage Director correspondence at a senior level. 

  • Organize and maintain a complex email inbox on behalf of the Director, ensuring timely responses and follow-ups.

  • Coordinate and arrange meetings, conferences, and functions, including communication with internal and external stakeholders.

  • Assist with the preparation of presentations, reports, and other documents using Microsoft Office Suite (Word, Excel, PowerPoint).

  • Arrange travel arrangements and process expense reporting.

  • Maintain confidentiality and demonstrate discretion in handling sensitive information.

  • SharePoint administration and updates as required including access management requests, site creation and customization, content management classifications and troubleshooting site issues.

Who you are

  • Relevant education and a minimum of 3 years’ experience in the administrative field; or an equivalent combination of education and experience.

  • Proficient with the Microsoft Office Suite, SharePoint, Internet navigation, email, and general computer use.

  • Strong interpersonal and communication skills

  • Excellent organization and planning skills

  • Ability to learn tasks quickly and become efficient in a short period of time

  • Self-starter, proactive and self-motivated

  • Excellent time management skills and the ability to prioritize competing demands

  • Ability to perform work with constant interruptions.
