Corporate Services provides executive, professional, and support services across general administration, facilities and real estate management, health and security, secretarial support, external affairs, information services, and other enterprise‑wide functions such as trainee coordination. Within this, Administration & Support is responsible for delivering clerical, secretarial, and general administrative support to the business and senior executives, acting as a key coordinator between different internal and external interest groups to ensure efficient organizational operations.
- Support designers with administrative and operational tasks with a moderate level of guidance and within guidelines and policies.
- Arrange and coordinate all aspects of domestic and international travel; flights, hotels, ground transportation, visa/passport requirements and related expense reporting and claims
- Support R&D teams in various tools, e.g. travel and claim tool, people management related tools, purchasing tools, etc.
- Create and track Purchase Orders, Supplier invoicing etc.
- Provide support for logistics arrangement of internal and external meetings, team events, workshops, etc.
- Support team with procurement needs for Nokia equipment and 3rd party supplier/services
- Maintain knowledge of departmental and company policies and procedures.
- Preference is to have 10+ years of professional work experience providing administrative support
- Solid interpersonal skills and comfortable in working to support others
- Proficient with MS office tools (Word, Excel, PowerPoint, Outlook, Teams …) and solid experience with Nokia tools like Concur, NokiaME, I-Buy, SRM, SAP, etc. is a plus
- Experience in travel arrangements – domestic and international – flights, hotels, ground transportation, etc.
- Strong organizational skills and excellent time management skills
- Ability to work under pressure and manage multiple priorities
- Fluent in English - both written and spoken
