The Coordinator, Clients & Markets will take ownership of various administrative tasks, including, but not limited to: planning and scheduling meetings, coordinating and developing meeting materials in accordance with Clients & Markets best practices, updating client profiles in CRM, reconciling invoices and monthly expenses, conducting research and developing reports.
This role will also provide event planning support including on-site execution of client-facing, third party and internal events.
This role offers exposure to high-level strategic initiatives and the opportunity to make meaningful contributions to the firm's client engagement and market presence while developing expertise in professional services marketing and business development.Key Responsibilities
- Drive continuous improvement by identifying and implementing process efficiencies across national operations
- Provide analytical support for business development initiatives and marketing campaigns
- Contribute to the success of strategic client relationships through proactive coordination and follow-through
- Support the development and execution of client-focused programs and communications.
- Coordinate and execute multiple high-impact projects across business development and marketing functions
- Support the development of executive presentations and strategic communications
- Manage tracking and reporting of Clients & Markets portfolio performance, providing comprehensive views of initiative progress
- Contribute to the firm's CRM strategy through data management and client intelligence gathering
- Ensure seamless execution of business development and marketing initiatives through effective coordination
- Maintain and enhance internal communication channels, including SharePoint resources
- Manage departmental administrative processes, including invoice processing and expense management
- Support event planning and execution, focusing on client engagement and business development opportunities
- Collaborate with the Sr. Manager, Regional Business Development, and the national events team, coordinate invitations, marketing lists, venues, room setup, catering, audiovisual support, speakers and registration materials
- Work with internal teams and vendors to confirm all event requirements are in place
- Collect and report attendance, budget and ROI data to maintain event records
- Build and maintain project plans, including timelines, milestones and approvals
- Track and reconcile expenses to keep events within budget and maintain accurate records
- Maintain a list of approved vendors and venues
- Update events calendar and website content
- Support national events team on execution of national webinars
- Manages Visa reconciliations for a minimum of two statements per month by compiling receipts, ensuring accurate coding and submitting reconciliations on time
- Coordinating client hospitality opportunities, including working with relevant lawyers on ticket/table allocations, ‘Know Before You Go’ communications, and catering requirements.
- Maintains local office inventory of marketing items and event materials
- Coordinating new Ottawa lawyers’ website biographies and headshots, ensuring all lawyer profiles are up-to-date to strengthen external visibility
- Undergraduate degree with 2-3 years of experience in a professional services environment, ideally with related experience in event planning
- Demonstrated experience in business development, marketing, communications or events
- Strong analytical and problem-solving capabilities with attention to detail
- Advanced proficiency in Microsoft Office Suite, particularly PowerPoint and Excel
- Exceptional project management and organizational skills
- Outstanding written and verbal communication abilities
- Proven ability to manage competing priorities in a fast-paced environment
- Strong relationship-building skills with a focus on stakeholder management
