Overview: The CRM And Database Manager will be responsible for setting up an online CRM system,  creating, integrating, and managing a comprehensive database for an Australian-based Finance Broking  and Lending business operating within the Liberty Financial franchise network. This role involves  quantifying and validating contacts from existing databases, reaching out to target companies and key  individuals, and managing the data for targeted marketing campaigns via email and SMS. Please note: an essential function of this role shall include direct telephone communications with companies and  individuals within Australia on a regular basis. Candidates should have a confident and engaging  telephone manner as they will be representing the company as its brand ambassador. 

Key Responsibilities: 

1. 

CRM System Setup and Management: 

○ Research and select an appropriate CRM platform. 

○ Configure the CRM system according to business requirements. 

○ Customize features for lead management, customer tracking, and reporting. ○ Provide training and support to the business partners and staff. 

2. 

Database Creation, Integration, and Management: 

○ Design a database structure that supports efficient data storage and retrieval. ○ Integrate existing data sources into the CRM system. 

○ Maintain data integrity through regular updates and quality checks. 

3. 

Data Validation and Updating: 

○ Quantify contacts from existing databases. 

○ Requalify and validate contact details to ensure current and accurate data. ○ Regularly update contact information as needed. 

4. 

New Data Acquisition and Outreach: 

○ Identify target companies, key individuals, and business development opportunities. ○ 

Reach out to potential contacts through email, phone, or social media to gather  information. 

○ Populate the CRM with new, relevant contact data for future outreach. 5. 

Marketing Campaign Preparation: 

○ Segment contacts based on various criteria (industry, location, interest). ○ Prepare and manage targeted marketing campaigns using email and SMS. ○ Track and report on the success of marketing campaigns. 

6. 

Ongoing Customer Service and Support: 

○ Respond to customer inquiries and provide support as needed. 

○ 

Handle administrative tasks such as scheduling, document management, and record  keeping. 

7. 

Reporting and Analysis: 

○ Generate reports on CRM usage, database growth, and marketing campaign performance. ○ Analyze data to identify trends and areas for improvement. 

8. 

Continuous Improvement: 

○ Stay updated on CRM and database management best practices. 

○ Propose and implement enhancements to systems and processes.

Example of weekly duties and deliverables: 

• 

Monday: 

○ Review and prioritize tasks for the week. 

○ Begin quantifying and validating contacts from existing databases. 

• 

Tuesday: 

○ Continue data validation and update contact details. 

○ Start outreach to target companies and individuals. 

• 

Wednesday: 

○ Focus on data acquisition and entry into the CRM system. 

○ Begin preparation for targeted marketing campaigns. 

• 

Thursday: 

○ Finalize data validation and ensure all updates are reflected in the CRM. ○ Continue outreach efforts and data entry. 

• 

Friday: 

○ 

Generate and review weekly reports on CRM data, outreach progress, and campaign  planning. 

○ Provide updates and feedback to the business partners. 

• 

Ongoing: 

○ Monitor and respond to customer inquiries and provide administrative support. ○ Maintain and update the CRM system as needed. 

○ Prepare for the following week's tasks and goals. 

Qualifications: 

• 

Education: Bachelor's degree in Business Administration, Information Technology, or a related  field. 

• 

Experience: At least 2-3 years in CRM management, database administration, and customer  service. 

• 

Skills: 

○ Proficient in CRM systems (e.g., Salesforce, HubSpot, Zoho CRM). 

○ Strong data management and analytical skills. 

○ Excellent communication and customer service abilities. 

○ Proficient in MS Office Suite and marketing tools. 

• Language: Fluent in English, both written and spoken. 

Additional Information: 

• 

Working Hours: Flexible, but must align with Australian business hours for meetings and  coordination.
