What you’ll do:

1. Content Organization & Structure

  • Design and maintain a logical folder hierarchy: Create master folders for departments (e.g., Marketing, Sales, Product) and subfolders for specific projects or content types (e.g., Blog Posts, Campaigns, Product Docs).

  • Consistent naming conventions: Establish and enforce clear, descriptive naming standards for files and folders to improve searchability and reduce confusion.

  • Use file/folder descriptions: Add detailed descriptions to folders and files, providing context and instructions for users.

2. Content Accessibility & Permissions

  • Manage access rights: Work with the IT team to set appropriate sharing permissions for folders and files, to balance collaboration with security. Use Google Drive's shared drive features to restrict sensitive content and manage team access.

  • Create shared drives by project or team: Assign drives to specific teams or initiatives, ensuring content is only accessible to relevant stakeholders.

3. Content Curation & Maintenance

  • Catalog and archive content: Regularly review and archive outdated or obsolete files to keep the library relevant and uncluttered.

  • Audit for duplicates and outdated content: Remove or merge duplicate files and ensure only the latest versions are accessible.

  • Tagging and cross-referencing: Use Google Drive's ability to add files to multiple folders (using "Shift + Z") for cross-referencing content without duplication.

4. User Support & Training

  • Develop user guides and training materials: Create documentation and run training sessions to educate staff on best practices for using and organizing Google Drive.

  • Support search and discovery: Assist users in finding and retrieving content efficiently, acting as a resource for information retrieval.

5. Governance & Best Practices

  • Enforce compliance and standards: Ensure content management practices align with company policies, legal requirements, and industry standards.

  • Monitor usage and analytics: Track how content is used to identify gaps, optimize organization, and improve user experience.

Who you are:

  • Bachelor’s degree in Library Science, Information Management, Marketing, Communications, or a related field, or equivalent practical experience.

  • 1+ years of experience organizing and managing digital content libraries, preferably within a marketing, communications, or business environment.

  • Proficiency with Google Drive (including Shared Drives, folder hierarchies, permissions, and file management features).

  • Demonstrated ability to develop and enforce file naming conventions, folder structures, and content management standards.

  • Experience managing access rights and permissions for digital assets, balancing collaboration with security.

  • Strong attention to detail and organizational skills; able to audit for duplicates, outdated content, and maintain a clutter-free digital environment.

  • Excellent written and verbal communication skills, with the ability to create clear user guides and deliver effective training.

  • Familiarity with compliance standards and best practices for digital content management.

  • Self-motivated and proactive, able to work independently in a remote environment and collaborate effectively with cross-functional teams.

  • Authorized to work in the United States and available for a 6-month contract.

Preferred but not required:

  • Experience in a marketing or SaaS business environment.

  • Knowledge of digital asset management (DAM) systems or library science principles.

  • Prior experience supporting user search, discovery, and information retrieval in a business context.

(Pay Transparency Range - $30.00 - 35.00)

The exact salary will be dependent on the successful candidate’s location, relevant knowledge, skills, and qualifications.
