We are seeking an experienced Document Control Manager to lead the management, governance, and administration of project documentation across complex construction and engineering projects. In this role, you will oversee document control processes, ensure compliance with project and client requirements, and support project teams through effective document management practices. The ideal candidate is highly organized, technically proficient with electronic document management systems, and passionate about driving process improvements while mentoring and supporting document control teams.

Essential Responsibilities:

  • Lead and manage all project document control activities, ensuring compliance with company, client, and contractual requirements.
  • Develop, implement, and maintain project-specific document control procedures, standards, and workflows.
  • Oversee the receipt, distribution, tracking, storage, retrieval, and archiving of project documentation.
  • Ensure accurate version control and timely distribution of drawings, specifications, correspondence, and project records.
  • Monitor compliance with document control procedures and perform regular audits within electronic document management systems (EDMS).
  • Configure and support EDMS platforms based on project requirements and stakeholder needs.
  • Maintain document registers, transmittals, reporting logs, and project records.
  • Coordinate document reviews, approvals, and updates with project teams, engineering, subcontractors, clients, and other stakeholders.
  • Provide training, guidance, and ongoing support to project teams and external partners on document control processes and systems.
  • Supervise, mentor, and support Document Control team members, ensuring consistency and quality across projects.
  • Support field and construction teams by ensuring access to current and approved project documentation.
  • Assist with project turnover, closeout documentation, and records management requirements.
  • Identify opportunities to improve document control processes, systems, and efficiencies.
  • Prepare reports and provide status updates on document control performance, compliance, and project requirements.

Qualifications:

  • 8+ years of document control experience within construction, engineering, industrial, or related project environments.
  • Previous experience leading, supervising, or mentoring document control teams.
  • Strong knowledge of document control principles, records management, and project documentation processes.
  • Experience supporting construction and engineering project teams throughout the project lifecycle.
  • Proficiency with Electronic Document Management Systems (EDMS); experience with Aconex is considered an asset.
  • Advanced Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook.
  • Experience managing high volumes of technical documents with exceptional accuracy and attention to detail.
  • Strong understanding of document version control, transmittals, workflows, and audit requirements.
  • Ability to configure, maintain, and support document management systems.
  • Excellent organizational, time-management, and problem-solving skills.
  • Strong written and verbal communication skills with the ability to collaborate across multiple stakeholder groups.
  • Comfortable working in a client-facing environment and building strong working relationships.
  • Ability to interpret engineering drawings, technical documentation, and project records is an asset.
  • Post-secondary education in Business Administration, Information Management, Engineering Technology, or a related field is preferred.

Compensation

$72,900.00 - $97,200.00

This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience, knowledge, skills, education and location.
