What you will accomplish with us

As an Executive Assistant and Support for Compliance and Risk Management, you will be at the heart of our mission. Here are the main responsibilities:

  • Ensure complete executive and administrative support for the vice-presidency and its managers, notably support in the daily management of their activities and agenda ;
  • Coordinate business travel, management meetings, committees, workshops, sector meetings and team meetings ;
  • Prepare expense reports and process invoices, purchase requests, access requests and other related administrative tasks ;
  • Ensure the follow-up of decisions, actions and deliverables resulting from meetings ;
  • Act as coordinator of projects or special files at the request of the Vice-President (e.g. opening files in complaint handling, follow-up of CEUs of participants during training sessions, etc.) ;
  • Act as a central point of contact for the administrative needs of the teams reporting to the vice-presidency ;
  • Work closely with the other executive assistants and internal partners to ensure the consistency and efficiency of administrative practices ;
  • Support compliance technicians in carrying out their tasks and responsibilities, notably regarding the monitoring of the general mailbox ;
  • Support the internal communications of the vice-presidency and external communications with advisors and clients ;
  • Ensure document quality ;
  • Participate actively in the preparation, revision, correction, translation and formatting of executive-level documents (presentations, reports, communications, dashboards) ;
  • Produce and update various documents and administrative tools using the Microsoft Office suite (Word, PowerPoint, Excel, Outlook, Teams).

What could accelerate your success in this position

We are looking for a person who:

  • Holds a college diploma (DEC) in office technology, administration or a related field, or any equivalent combination ;
  • Has relevant experience of five years or more in an executive assistant or high-level administrative support role ;
  • Has advanced knowledge of usual office tools (Word, Excel, PowerPoint, Outlook, Teams, OneNote, Visio, etc.) ;
  • Is recognized for managing multiple priorities ;
  • Stands out for their organizational and planning ability ;
  • Demonstrates strong discretion ;
  • Is know for their attention to detail ;
  • Masters the French language and has an advanced level of knowledge of the English language since the person will be required to collaborate and communicate orally and in writing with various internal and external unilingual English-speaking partners on a daily basis ;
  • Has knowledge of Copilot (asset) ;
  • Has experience in a financial services, compliance or risk management environment (asset) ;
  • Has experience in coordinating cross-functional projects or corporate events (asset).
