Job Summary

As an Executive Assistant supporting the Senior Managing Director & Head of Global Capital Markets and two Senior Managing Directors, you will play a vital role in enabling HOOPP’s investment leadership to operate at peak effectiveness. Reporting to the Manager, Administrative Services, Office of the Chief Investment Officer, you will provide comprehensive administrative and operational support, ensuring smooth coordination, efficient communication, and seamless execution across the Global Capital Markets team.
Working closely with two Administrative Assistants within the Investments Division, you will act as a trusted partner who anticipates needs, manages priorities with precision, and embodies HOOPP’s values of Integrity, Accountability, Collaboration, and Service Excellence. This role is ideal for a seasoned professional who thrives in a dynamic, fast-paced environment and is motivated by meaningful work that contributes to the retirement security of healthcare workers across Ontario.
What you will do:
Provide administrative support to the Senior Managing Director & Head of Global Capital Markets and two Senior Managing Directors (Balance Sheet & Liquidity Management and Public Equities) and their teams.
Act as a key liaison between Capital Markets leadership and internal/external stakeholders, ensuring professionalism and discretion in every interaction.
Prepare and coordinate high-quality materials, reports, and presentations to support executive meetings and decision-making.
Partner with administrative peers and support functions to ensure seamless alignment across Investments and the Office of the CIO.
Manage complex, frequently changing calendars, balancing multiple priorities and coordinate meetings, conference calls, and events
Oversee all aspects of domestic and international travel, ensuring efficient itineraries and adherence to HOOPP’s policies.
Manage end-to-end expense reporting via Concur and partner with Finance to reconcile expenses and identify opportunities for process improvement.
Administer Bloomberg and other data-feed platform access, monitor usage and licensing, handle internal cost allocations, and maintain vendor relationships and contract records.
Collaborate with two Administrative Assistants in the Investments Division to streamline administrative processes and maintain high standards of service delivery.
Assist in preparing governance materials and internal reporting documentation.
Support the onboarding, training logistics, and engagement initiatives for team members within Capital Markets.
Track action items and assist with ad hoc projects, contributing to continuous operational improvement within the Office of the CIO.
Interact with internal and external stakeholders.
What you bring:
- 10+ years of executive-level administrative support within capital markets, pension investment management, or financial services.
- Post-secondary education in Business Administration, Office Management, or a related discipline preferred.
- Proven ability to support multiple senior executives in dynamic, fast-paced environment.
- Advanced proficiency in Microsoft Office 365 (Outlook, Excel, PowerPoint, Word, Teams, SharePoint) and Concur.
- Strong project coordination, planning, and prioritization skills.
