Job Description
We are currently recruiting for an Executive Assistant for a 12-month contract position to join the Investment Portfolio Management (IPM) group in Toronto. The Executive Assistant will report to the Managing Director, Head of Investment Portfolio Management, and will be responsible for providing day-to-day administrative support including managing travel, calendars, meetings, expenses, events, presentations, correspondence and departmental initiatives.
Team Description
The Office of the Chief Investment Officer (“OCIO”) supports the Chief Investment Officer (“CIO”) in his executing his accountabilities. OCIO consists of two groups: Investment Portfolio Management and Integrated Strategies. Investment Portfolio Management (“IPM”) provides the CIO with dedicated support for each investment strategy, active portfolio design, performance analysis, governance and communications.
Position Requirements
- Provides general administrative support to the Managing Director, Head of IPM and to the wider team.
- Skilled at anticipating the needs of the executive and/or team
- Books and supports complex global travel arrangements, itineraries, or other related duties.
- Proactively manages multiple calendars, including scheduling internal and external meetings, room bookings and calls, and works with global departments/offices to coordinate logistics
- Coordinates the departmental and team event planning process, as required.
- Supports the onboarding of new employees joining the team.
- Works closely with external partners, assistants, vendors, and other stakeholders to schedule meetings or events.
- Work closely with other Executive Assistants, Administrative Assistants and teams to increase efficiency and provide overall departmental support.
- Prepares executive and department-level documents and ensures submissions are delivered on a timely basis, with meticulous attention to detail.
- Ensures team members are prepared for all meetings and carry-forward action items.
- Handles highly sensitive and confidential matters relating to the daily activity of the department and/or organization with utmost discretion.
- Coordinates and performs critical internal processes for the team.
Qualifications
- College diploma or bachelor’s degree
- 6+ years administrative/executive level support with experience working in a fast-paced, professional environment.
- Prior experience in the financial services or related industry is an asset.
- Experience providing support to senior executives and managing competing priorities.
- Experience with complex calendar management, booking high profile meetings, events, scheduling travel and managing expense reimbursement process.
- Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
- Team player, eager to learn, adaptable, calm under pressure, and professional.
- Able and willing to work flexible hours, as required.
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
- Exceptional (written and verbal) communication skills and interpersonal skills.
- Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
- Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism.
- Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment.
- Interest in the investment industry is considered an asset.
