Reporting directly to the President and CEO office, the Executive Assistant provides high-level administrative support and serves as the primary point of contact for internal and external stakeholders on all matters related to the Office of the President and CEO and the Executive Leadership Team. This position requires discretion, exceptional organizational skills, and the ability to thrive in a fast-paced, high-demand environment.
Key Responsibilities
Strategically manages and coordinates the CEO’s complex and dynamic calendar, ensuring all commitments are prioritized and respected;
Collaborates closely with the CEO’s Senior Chief of Staff to ensure seamless communication and coordination of executive-level initiatives and projects;
Executes a wide range of administrative tasks, including preparing expense reports, drafting correspondence, organizing detailed travel plans and itineraries, and compiling briefing materials in collaboration with Senior Chief of Staff;
Acts as a trusted gatekeeper and liaison, facilitating direct access to the CEO while managing communications and requests with discretion;
Represents the CEO in communications with Board members, clients, government officials, and other key stakeholders;
Prioritizes and follows up on sensitive and confidential matters, determining appropriate actions or referrals;
Maintains close collaboration with the CEO to ensure awareness of upcoming obligations and strategic priorities, serving as a reliable “barometer” of the organizational environment;
Delivers critical outputs with a hands-on approach, including acknowledgments, correspondence, and other executive-level deliverables;
Coordinates all aspects of travel logistics, including booking flights, accommodations, ground transportation, and preparing travel documentation;
Serves as the administrative liaison to the Board of Directors and collaborates with the Corporate Secretary’s office to support Board and Committee activities;
Prepares agendas and background materials for leadership and staff meetings, including off-site sessions;
Provides coordination and support to the broader Executive Assistant team, exchanging best practices and continuous improvement sessions;
Undertakes special projects and tasks as assigned by the CEO.
Qualifications
Minimum College diploma (DEC), Undergraduate degree an asset;
Minimum of 15 years of experience supporting senior executives or a President/CEO;
Exceptional organizational and time-management skills, with the ability to manage multiple priorities and maintain attention to detail;
Strong interpersonal skills and the ability to build trusted relationships with senior leaders, Board members, and external stakeholders;
Sound judgment and the ability to navigate complex situations with discretion and professionalism;
Fully bilingual in French and English, with excellent written and verbal communication skills;
Proactive problem-solver with strong decision-making capabilities;
Highly resourceful and collaborative, with the ability to work independently and as part of a team;
Demonstrated ability to handle confidential information with integrity and provide exceptional service in a fast-paced environment;
Proven track record of meeting high-performance goals and managing shifting priorities under tight deadlines;
Flexibility to accommodate varying work hours as needed.
