What You’ll Be Doing
The CIBC Legal Department provides legal services to all lines of business within CIBC and assists in identifying, assessing and mitigating legal risks. As the Executive Assistant you will manage the day-to-day administrative activities in support of two Vice-Presidents and their teams of lawyers. The successful candidate will have strong organizational and time management skills with the ability to multi-task and prioritize assignments in a fast-paced environment.
At CIBC we enable the work environment most optimal for you to thrive in your role. You’ll have the flexibility to manage your work activities within a hybrid work arrangement where you’ll spend 1-3 days per week on-site, while other days will be remote.
How You’ll Succeed

Administration – Proactively manage the day-to-day administrative and confidential activities in support of the executive and team. This includes calendar and mailbox management, answering or directing inquires, report preparation, processing expense accounts, absence tracking, coordinating meetings, maintaining filing system and developing and maintaining administrative processes.

Software Knowledge – Utilize your intermediate to advanced level PC skills (MS Office: Excel, Word, PowerPoint, Outlook, web browsers) to complete daily administrative tasks.

Records Coordination – Update and ensure accuracy and completeness of litigation matter listing. File and label Records relating to matters in accordance with the Record Management procedures. Ensure retention, legal holds and destruction of Records belonging to the Litigation and Employment Litigation team.

Teamwork - Provide administrative and technology guidance and leadership. Provide direction to other administrative staff and participate in training, work allocation and problem resolution.
Who You Are

You can demonstrate experience in a legal administrative/professional support function for a minimum of 5 years. Dealing with complex issues and managing conflicting priorities. It’s an asset if you have litigation experience.
