The Impact you’ll make
Email & Communication Management
- Manage multiple client-group emails, ensuring prompt and professional responses.
- Use templated responses for frequently asked client questions and follow-ups.
Document & Calendar Management
- Draft legal and standard documents using available templates and legal document software.
- Organize, monitor, and track court dates, hearings, and client consultations to avoid scheduling conflicts.
Client Relationship Support
- Maintain ongoing communication with clients through reminders and updates.
- Ensure intake forms and legal worksheets are completed thoroughly and accurately.
Administrative Operations & Billing
- Oversee task management using Asana to monitor staff workflow and deadline adherence.
- Assist in preparing and sending invoices and collection letters using MyCase billing software.
Special Projects & Personal Tasks
- Coordinate events and staff recognition activities (e.g., Paralegal Day, holiday celebrations).
- Provide additional supportive tasks as needed for office operations.
Skills, Knowledge and Expertise
Required:
- Proven paralegal or legal assistant experience, especially in family law.
- Experience managing multiple business email accounts and legal communications.
- Strong calendar and schedule management skills for court and client appointments.
- Familiarity with legal document drafting and form management using software tools.
- Proficiency with project management platforms like Asana and billing software (e.g., MyCase).
- Bilingual Spanish Speaker
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
