Job Description

The Parts Manager is responsible for managing the inventory and distribution of parts for our Ottawa Fire Safety and Protection LLC branch known locally as NOTI-Secur. This includes overseeing the purchasing, storage, picking and supply of parts for fire alarm systems, sprinkler systems, and other life safety equipment. The Parts Manager will ensure that our technicians have the necessary components to complete their work efficiently and that our inventory levels are optimized to meet business needs.

Key Responsibilities:

  • Inventory Management:
    • Maintain accurate records of inventory levels for fire alarm, sprinkler system, and life safety parts.
    • Monitor stock levels and reorder parts as necessary to prevent shortages.
    • Conduct regular inventory audits and reconcile discrepancies.
  • Purchasing:
    • Place orders for parts and track deliveries to ensure timely arrival.
  • Distribution:
    • Pick parts from the warehouse for installation projects and service orders.
    • Coordinate the distribution of parts to technicians and field teams.
    • Ensure that parts are delivered to job sites or technicians in a timely manner.
    • Manage the logistics of returning defective or unused parts to suppliers.
  • Record Keeping:
    • Maintain detailed records of parts usage, orders, and deliveries.
    • Prepare regular reports on inventory levels, costs, and usage patterns.
  • Team Collaboration:
    • Work closely with the Territory Manager, technicians, salespeople, coordinators and project managers to understand parts requirements.
    • Provide support and assistance to the service team to resolve parts-related issues.
  • Quality Control:
    • Ensure that all parts meet quality and safety standards.
    • Inspect and test parts as necessary to verify their condition and functionality.

Qualifications:

  • High school diploma or equivalent; a degree in supply chain management, logistics, or a related field is a plus.
  • Minimum of 3 years of experience in inventory management, preferably in the fire and life safety industry.
  • Strong understanding of fire alarm and sprinkler system components.
  • Excellent organizational and problem-solving skills.
  • Proficient in inventory management software and Microsoft Office Suite.
  • Strong communication and negotiation skills.
  • Ability to work independently and as part of a team.
  • Valid driver’s license and ability to travel to supplier locations as needed.

Physical Conditions:

  • Occasional travel may be required to supplier locations or job sites.
  • Must be able to lift up to 40 pounds.
  • Must be able to be on one’s feet for up to several hours at a time.
