Role Overview

We are seeking a Project Coordinator to support project delivery activities across multiple concurrent initiatives. This role is ideal for an organized, detail-oriented professional who enjoys coordinating stakeholders, managing project documentation, supporting business analysis activities, and contributing to successful project outcomes.

Key Responsibilities

  • Support project delivery activities across multiple concurrent projects, including schedule maintenance, status reporting, project documentation, action item tracking, milestone coordination, and delivery support.
  • Coordinate and facilitate project meetings, workshops, stakeholder discussions, and planning sessions.
  • Prepare agendas, document decisions, record meeting minutes, and track follow-up actions.
  • Support requirements gathering activities by facilitating discussions, documenting business needs, capturing stakeholder requirements, and maintaining requirements documentation throughout the project lifecycle.
  • Assist with scope definition and scope management activities, including documenting project objectives, business outcomes, assumptions, constraints, deliverables, and scope boundaries.
  • Translate business discussions, stakeholder feedback, and workshop outcomes into project artifacts such as requirements, user stories, backlog items, acceptance criteria, risks, decisions, and action plans.
  • Support Agile and hybrid delivery approaches through participation in backlog refinement, sprint planning, sprint reviews, retrospectives, roadmap discussions, and ongoing project planning activities.
  • Assist with backlog management by organizing and maintaining epics, features, user stories, priorities, dependencies, and acceptance criteria.
  • Build and maintain effective working relationships with stakeholders, project teams, business partners, vendors, and subject matter experts.
  • Support project governance activities, including preparation of project status reports, governance materials, decision logs, RAID logs, governance presentations, and change requests.
  • Support risk, issue, dependency, and change management processes through documentation, monitoring, escalation, and reporting.
  • Contribute to project planning activities, including schedule development, resource coordination, milestone tracking, work planning, effort estimation support, and project administration.
  • Prepare project metrics, dashboards, reports, presentations, and analysis to support decision-making and performance monitoring.
  • Utilize Microsoft 365 applications and project management, work management, backlog management, and reporting tools.
  • Apply strong organizational, analytical, critical-thinking, and problem-solving skills to support project delivery and manage competing priorities.
  • Demonstrate business acumen and an understanding of how projects, technology initiatives, process improvements, and organizational change contribute to business objectives and strategic outcomes.

Required Qualifications

  • 3 to 5 years of business experience supporting projects, programs, initiatives, organizational change efforts, or operational improvement activities.
  • Experience in project coordination, project administration, PMO support, business coordination, business analysis, requirements coordination, or a related role.
  • Experience supporting requirements gathering workshops, stakeholder interviews, process mapping sessions, backlog creation activities, or business analysis initiatives.
  • Experience assisting with project planning, scheduling, governance reporting, risk management, issue management, and change management activities.
  • Experience facilitating meetings, documenting decisions, tracking commitments, and coordinating follow-up activities among stakeholders.
  • Knowledge of Agile, hybrid, and traditional project delivery methodologies.
  • Experience using project scheduling, collaboration, reporting, and work management tools.
  • Post-secondary education in Business Administration, Commerce, Project Management, Information Technology, Management Information Systems, or a related discipline, or an equivalent combination of education and experience.
  • Progress toward or completion of a recognized project management certification such as CAPM, PMP, PRINCE2, Scrum, or Agile-related certification is considered an asset.

Nice to Have

  • Experience working with both Waterfall and Agile project delivery methodologies.
