ABOUT THE ROLE

We are seeking a detail-oriented and versatile Proposal Writer to join Vivid Solutions on a contract, as-needed basis. Working closely with our executive team and subject matter experts, you will lead the development of high-quality responses to RFPs, bids, and other competitive opportunities, across public and private sectors.

This is an on-call engagement, as opportunities arise, well suited to someone who can work independently, flex their availability around submission deadlines, and hit the ground running. Beyond individual submissions, you will also play a role in strengthening Vivid’s proposal function more broadly, helping us maintain the tools, templates and source material that support consistent, high-quality proposals over time.

KEY RESPONSIBILITIES

  • Proposal Development: Review solicitation documents (RFPs, RFQs, and similar) to identify requirements, evaluation criteria, and submission risks; write clear, compelling proposal content that directly addresses scoring matrices.
  • Stakeholder Collaboration: Interview subject matter experts and internal stakeholders to gather technical, operational, and business information, asking thoughtful questions to uncover what isn’t immediately apparent.
  • Content Synthesis: Translate complex, technical concepts into clear, persuasive written responses tailored to evaluator expectations.
  • Proposal Process & Materials: Maintain and continuously improve Vivid’s proposal resources and workflow, including source material, templates, and review processes.
  • Quality & Compliance: Identify information gaps, coordinate with internal teams to close them, and ensure submissions meet formatting, compliance, and confidentiality requirements.
  • Responsible AI Use: Use AI tools appropriately to support research, organization, and drafting, applying strong editorial judgment and sound discretion regarding what information can be entered into AI/LLM tools.

QUALIFICATIONS

  • Proven experience in proposal writing, grant writing, or government procurement responses, public sector experience is required.
  • Direct experience with public-sector procurement processes, government funding programs, and writing against scoring matrices.
  • Experience working with technical subject matter experts, including conducting interviews and extracting information from stakeholders.
  • Strong ability to turn incomplete or ambiguous information into clear, well-structured written content.
  • Comfort with technology and technical conversations, you don’t need to be technical yourself, but should be at ease working alongside a technical team.
  • Strong organizational skills, with the ability to manage and evolve proposal templates, tracking tools, and process documentation.
  • Ability to work independently in a fast-paced, deadline-driven environment, with flexibility to accommodate occasional “all hands-on deck” submission pushes.
  • Experience in a related field such as management consulting, public policy, research, technical communications, or academic writing (Master’s or PhD) is an asset.

CONTRACT DETAILS

  • Independent contractor, on-call / as-needed basis, with work volume tied to active pursuits.
  • Hourly Rate: $40-$60/hour, depending on experience, expertise, and the nature of the work assigned.
  • Remote BC work; availability during standard business hours (9–5 PST) is preferred to support collaboration, with flexibility required around submission deadlines.
  • Bonus consideration for proposals and submissions that result in contract awards.
