We're hiring a Recruiting Coordinator to run the day-to-day operations of our hiring process. Luminai is transforming how health systems operate and the team we build right now directly shapes what we're able to do next. A great coordinator accelerates everything.
You'll own interview scheduling, candidate communication, and pipeline hygiene across the full funnel. You'll partner with recruiters and hiring managers to keep a high volume of interviews running cleanly, and you'll be the person candidates remember as the reason their experience felt organized and human.
This is a hybrid role. Our team is in-office 3 days a week (Mon, Tue, Thu) in San Mateo, California.
What You'll DoCoordinate end-to-end interview scheduling across multiple roles and teams, including complex onsite loops, panels, and cross-timezone virtual screens.
Serve as the primary candidate contact throughout the process -- setting expectations, answering questions, and keeping things moving.
Maintain clean, accurate pipeline data in Ashby.
Support recruiters with pipeline reporting, candidate follow-ups, and sourcing logistics.
Coordinate offer preparation and support the closing process.
Keep hiring managers on track with interview timelines and feedback deadlines.
Identify and fix friction in our scheduling workflows, templates, and coordination systems.
2-4 years in Recruiting Coordination, People Operations, or a similar high-volume scheduling and candidate-facing role.
Clear, professional communication with candidates and internal stakeholders at all levels.
Comfort managing shifting priorities in a fast-moving environment.
Discretion with confidential candidate and compensation information.
Nice to have: experience with Ashby, or prior time at a high-growth startup or healthcare/enterprise software company.
You communicate early and clearly, whether that's flagging a scheduling conflict or keeping a candidate in the loop on next steps.
You care about the small and intentional details.
