Position Overview:

This role supports Client Account Leads across all client finance matters, ensuring accuracy, compliance, and clarity in financial operations. The position partners closely with the PMO to deliver monthly client time reporting, track program actuals, and prepare detailed revenue recognition calculations in line with contractual terms and accounting standards. It involves translating complex financial data for business leaders, managing audit requests, and maintaining adherence to client contracts, corporate policies, and reporting timelines. As a recognized subject matter expert, this role serves as a trusted internal resource for all finance-related inquiries and processes.

Responsibilities:

  • Serve as the primary finance contact for the Project Team, acting as a liaison with the Finance department to manage all project accounting and reporting.
  • Work closely with Project Teams to maintain project budgets within finance systems, consistently updating them for approved changes in scope.
  • Track and analyze actual project costs against budgets, ensuring expenditures comply with client contracts and are accurately classified in financial reporting.
  • Reconcile actual cost reports from finance systems against project dashboards or records, coordinating with Project Teams and Finance to resolve discrepancies and ensure an effective project closeout process.
  • Collaborate with the Project Management Office (PMO) to provide and analyze monthly time-tracking reports to monitor actual project labor costs.
  • Manage accurate revenue recognition during month-end and project closeout, ensuring full compliance with both client contractual terms and accounting standards, while maintaining robust documentation for audit purposes.
  • Oversee the end-to-end client and vendor invoicing process, ensuring timely issuance of client invoices, punctual vendor payments, and coordinating with Finance and clients to ensure the timely collection of outstanding invoices (A/R).
  • Prepare and submit accurate project financial forecasts (revenue and expenses) on schedule, coordinating closely with the Finance team.
  • Translate and present complex financial reports (e.g., project profitability, budget variance) to non-finance Project Leads and client stakeholders.
  • Monitor and ensure continuous financial compliance with all terms and conditions outlined in client contracts.
  • Manage and coordinate all documentation requests for both client-specific and external financial audits.
  • Act as the Subject Matter Expert (SME) for all project accounting standards and related systems, providing authoritative guidance to internal teams across the organization

Skills and Qualifications:

  • Ability to prioritize and multitask in a changing and fast paced work environment
  • Excellent written and verbal communication skills
  • Experience presenting financial information to non-financial teams
  • Excellent organizational skills and able to work according to fixed calendar cycles
  • Comfortable digging through large volumes of reporting for key operational findings
  • Ability to manage large data
  • Bachelor’s degree in Finance or Accounting, MBA a plus
  • 3 to 5 years experience overseeing budgets and relaying financial metrics to leadership
  • Advanced Excel & PowerPoint presentation abilities
  • Experience with MS Dynamics Business Central, Navan Travel, Chrome River (Emburse), and HubSpot platforms a plus
  • 3+ years financial management experience in Advertising or Marketing Agency (Preferred)
