Required skills, as followed:
  • Manage document control processes, including receiving, tracking, distributing, and filing all project documentation. Particularly, collecting documents required for the project closeout.  
  • Organize and maintain both electronic and hard-copy project files in accordance with company standards
  • Provide administrative and coordination support to the Project Manager
  • Work closely with the Project Manager and Superintendent to minimize their need to perform task-level work by proactively managing project controls, documentation, and coordination activities.
  • Create and issue Purchase Orders; collect, review, and process invoices.
  • Assist with price change orders; track and manage Requests for Information (RFIs); review, coordinate, and obtain approvals of shop drawings; and facilitate the flow of information required by sub-trades and suppliers.
  • Participate in subcontractor progress meetings and support progress tracking, reporting, and follow-up actions.
  • Assist with updating and maintaining the weekly master project schedule, ensuring the Superintendent's look-ahead schedules are aligned. Monitor productivity rates and subcontractor planned versus actual performance within the schedule.
  • Provide support in establishing the client billing schedule and executing monthly billing and invoicing processes.
  • Support subcontract management, including monitoring notification periods and value changes; assist with payment processing, dispute resolution if required, and subcontractor performance evaluations.
  • Identify, address, and resolve issues and risks proactively, escalating as necessary to prevent impacts to cost, schedule, or quality.
  • Manage subcontractor submittals, ensuring timely review, approvals, and distribution.
  • Develop and maintain positive working relationships with clients, consultants, sub-trades, and suppliers.
  • Assist the Project Manager in ensuring project health, safety, and environmental standards meet legislated requirements and company policies.
 The Ideal Candidate
  • University or college degree in Engineering, Architecture, Construction Management, or a related field.
  • 1–3 years of experience in a similar project coordination or construction support role.
  • Proficient in Microsoft Office, Microsoft Project, and Excel.
  • Strong organizational, communication, and time-management skills.
  • Strong analytical skills with excellent attention to detail.
  • Ability to work effectively under pressure in a deadline-driven environment.
  • Exceptional verbal and written communication skills and a collaborative, team-oriented mindset.
  • Proactive, dependable, and eager to learn within a collaborative team environment.
  • Solid knowledge of the Project Manager Software, such as Procore.
