Position Overview:
We are seeking a highly mature and organized Project Manager to join our Project Management Office (PMO). This internal-facing role ensures cross-functional alignment and execution across strategy, business development, creative, and paid media teams. While not client-facing, this role is essential to keeping internal operations clear, on track, and collaborative. Success in this role requires strong project management fundamentals, high emotional intelligence, and the ability to communicate effectively with diverse team personalities. You’ll be the go-to person for organizing project details, following up, and ensuring deadlines are met, without friction.
Responsibilities:
Project Intake & Kickoff
- Review incoming project briefs to ensure completeness and clarity
- Schedule and coordinate kickoff calls with internal stakeholders
- Capture notes and action items from kickoff meetings
Project Management
- Create and maintain detailed workback schedules for all strategy projects
- Track project milestones and deadlines from initiation to completion
- Proactively flag risks or delays and work with stakeholders to resolve them
- Communicate changes to all stakeholders
Documentation & Organization
- Set up and manage folder structures and project-specific channels for each project in alignment with agency standards
- Maintain centralized documentation for easy access across departments
- Maintain updated hourly allocation in time tracking tools
Stakeholder Communication & Management
- Serve as the point person for project status updates across teams
- Actively offers solutions to problems in a proactive manner
- Collaborate with leads from different departments, managing expectations and delivering updates in a timely and effective manner
- Communicate changes in scope, timing, or deliverables clearly and promptly
Skills and Qualifications:
- 3–5+ years in project coordination, operations, or agency roles (experience in influencer marketing, strategy, or business development is highly valued)
- Excellent organizational and multitasking skills
- Strong communicator with high EQ and stakeholder management instincts
- Proficient in project management platforms (e.g., Monday.com, Jira, Kantata)
- Experienced with Google Workspace tools (Docs, Sheets, Slides, Drive)
- Works well in a fast-paced, detail-oriented, collaborative environment
