Position Summary

The Executive Assistant provides high-level administrative support to senior executives, ensuring smooth day-to-day operations. This role requires excellent organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant acts as a gatekeeper, problem solver, and liaison between executives, staff, and external stakeholders.

This role is best suited for a self-starter who is looking to be part of a dynamic team and who appreciates a diverse, collaborative work environment.

Key Responsibilities & Tasks:

1. Executive Support

·        Manage executive calendars, including scheduling meetings, appointments, and travel.

·        Screen, prioritize, and respond to emails, phone calls, and correspondence.

·        Prepare meeting agendas, presentations, and briefing materials.

·        Take minutes, track follow-ups, and ensure timely completion of action items.

2. Communication & Liaison

·        Serve as the primary point of contact for internal and external stakeholders.

·        Draft and edit correspondence, reports, and official documents.

·        Coordinate communication between executives and departments.

3. Project & Task Management

·        Support special projects, ensuring timelines and deliverables are met.

·        Conduct research, gather data, and prepare reports.

·        Track deadlines and manage executive priorities.

4. Office & Administrative Management

·        Organize and maintain files (electronic and paper).

·        Process expenses, invoices, and reimbursements.

·        Coordinate logistics for events, board meetings, or team offsites.

5. Confidentiality & Professionalism

·        Handle sensitive information with discretion and maintain confidentiality.

·        Represent the executive with professionalism in all interactions.

Skills & Qualifications

·        Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

·        Strong organizational and time-management skills with attention to detail.

·        Excellent verbal and written communication skills.

·        Proficiency in Microsoft Office/Google Workspace and scheduling tools.

·        Ability to multitask, prioritize, and work independently.

·        Discretion and professionalism in handling confidential information.

The role is structured as a four-day workweek (Monday – Thursday) with required in-office presence.
